WHY DOUG LOUGOON FOR REAL ESTATE PROPERTY MANAGEMENT?
Good question! There is no doubt many asset management companies offer the same service (or lack of it!). Many asset management departments just collect the rent and show no real management or attention to detail when it comes to the landlord and the property. At Doug Lougoon for real estate we are different from the rest in the following ways:
Our services to you and your property include the following:
Leasing
- Initial inspection of the property. Provide a market appraisal and recommend any improvements and/or maintenance which may be required.
- Provide the landlord with information on rights and responsibilities of Tenants and Landlords in accordance with the Residential Tenancies Act 1997.
- Prepare “Management Authority Agreement” Consult Landlord with regard to any special instructions on maintenance or disbursements.
- Professional and comprehensive marketing of the property, as outlined in the Marketing segment of this portfolio.
- Inspect the property in person with any potential tenants, providing opportunity to “sell the benefits”. It is a policy of our company not to give the keys to your property to prospective applicants/tenants.
- Receive and process tenancy applications. This encompasses reference checks with previous landlords or agents, employer and character references, and database check with the National Tenancy Database & Tenancy Information Centre of Australia (TICA).
- Select a tenant in consultation with the owner/Landlord.
- Prepare documentation which includes
- Comprehensive condition & inventory report
- Photographs of property and fixtures prior to tenancy
- Lease Agreement
- Bond Lodgement
- Collect and receipt security deposit and rent prior to occupancy, and forward security deposit to the Residential Tenancies Bond Authority, as required under the Act.
- Inform the tenant of their rights and duties under the Residential Tenancies Act, and provide them with copies of the Tenancy Agreement and Annexure, and the “Rights and Responsibilities” Booklet.
- Provide the Landlord with a copy of the Tenancy Agreement to sign together with a copy of the ingoing condition report and photographs.
- Ongoing Management
- Collect and receipt rent in accordance with the tenancy agreement.
- Provide Landlord with Mid-Monthly or Monthly Statement (electronically or hard copy), detailing income, outgoings, and net payment.
- Keep Landlord informed of any rent arrears, which are dealt with per the following policy.
- 0-3 days, telephone call advising tenant of overdue rent
- 3-5 days, letter reminding tenant rent is due
- 5-10 days, second telephone call
- 10 days, warning letter of impending action
- 14 days, notice for the tenant to vacate the premises may be issued after consultation with the Landlord.
- Conduct regular routine inspections – initial inspection after 3 months of tenancy, then every 6 months thereafter, providing a comprehensive written report and photographs of the property following each routine inspection.
- Liaise with landlord with regard to maintenance requirements, and arrange completion in accordance with instructions.
- Review lease expirations and arrange renewals in consultation with tenant and landlord.
- Carry out periodic rent reviews.
- Serve notices to tenant for failure to comply with any relative legislation and/or the tenancy agreement
- Prepare applications and documentation, and represent the owner/landlord at statutory tribunal hearings
- Prepare annual Financial Statement on Income and Expenditure.

e) Inspections: We only allow prospective tenants to inspect a property with a suitably qualified property manager. It is not our policy to give out keys to prospective tenants therefore we can ensure the advantages and features of the property are highlighted upon inspection and also ensure the property is left secure and “as found”.
f) Database: Our database of qualified tenants is extensive and up to date, therefore we may have a suitably qualified tenant willing and waiting for a property like yours. This will save all the hassle and time that might be otherwise be involved in a marketing campaign.
g) 24 / 7 phone contact: We have 24/7 phone contact available to all clients. Once our office is closed for trading the phone is diverted to a mobile so all emergencies can be addressed immediately. This service allows you to rest easy knowing if anything goes wrong with your investment property you’re in safe hands.
